We are looking for an HR Officer to join our team as soon as possible for a period of one year. Our new colleague will be based at our head office in Luxembourg and will report directly to the Human Resources Director.


As an HR Officer, you will be responsible for the management and the administration of personnel files for Flen Health employees, you will answer their questions on all HR matters and you will help and support them throughout their careers within the company.

Your responsibilities:

  • You will be responsible for general personnel administration for the Group’s entities, including collecting salary data, managing leave and absences, monitoring benefits in kind, inputting and reporting information to local fiduciaries and public administration, reviewing pay slips, transferring payment instructions to our finance team.
  • You will manage staff entry and exit processes and the related administrative formalities: preparing the employment contract, and amendments, organizing induction programs, conducting HR Welcome, exit interview and updating our HRIS accordingly.
  • You will be the first point of contact for all employee queries relating to personnel administration and payroll processing for the countries for which you are responsible.
  • You will assist the HR Manager in preparing the quarterly HR dashboard, including key performance indicators such as overall headcount and type of contract, new arrivals and departures, absenteeism and staff turnover rates, diversity data, recruitment, and training activities, ...
  • You will support the HR Manager in drafting or updating human resources policies and internal employment regulations. As an ambassador for the company's internal rules and procedures, you will communicate regularly with the staff on these matters.
  • You will monitor changes in social and labor legislation in the entities for which you are responsible and update our relevant legal files accordingly.
  • Occasionally in support of recruiters, you could participate in recruitment processes (job posting, scheduling, and conducting interviews, writing feedback reports, employment offer presentation…).
  • You will liaise with the IT department and line managers to set up all employee access and tools.
  • In partnership with the HR training coordinator, you will collect skills gap forms in order to identify staff training needs, complete the development plans and carry out the necessary follow-up.
  • Working with the HR Communication Specialist, you will help organize HR events (e.g. end-of-year party, our global corporate event, team-building activities, …) and the ordering of gifts for employees.


Your qualifications & experience:

  • You hold a bachelor’s or a master’s degree in human resources or related field
  • You can demonstrate initial experience in HR administration & payroll preparation within an HR department or a fiduciary and in an international work environment
  • You are fluent in English both written and spoken. A very good command of Dutch and French is an asset
  • You have knowledge of European work and social legislation 
  • You have good interpersonal skills and are keen to help and support employees throughout their career with the company
  • You have strong verbal and written communication skills with the ability to effectively communicate at multiple levels in the organization
  • At ease with figures, you have a great sense of precision
  • You are proficient in MS Office: comfortable using Excel and PowerPoint
  • You have excellent organizational skills and ability to meet deadlines
